Job Descriptions for Directors of Whiffletree Villas Homeowners Association
Director/President – Presides over association board meetings, prepares the agendas, sends “State of the Villas” letters to all members at year end and prior to annual general meeting. Manages contracts, orders and documents on behalf of the association. Addresses daily administration. Ensures all HOA board duties are fulfilled in the community’s best interest. Handles various other tasks as they occur.
Director/Treasurer – Manages the association’s finances. Keeps all financial records. Works closely with directors and committee chairs to plan the annual budget. Prepares the monthly budget update, pays bills and collects/deposits association dues. Prepares and mails association due invoices in mid-December. Follows up with past due invoices as needed. Provides transfer and resale documents to title companies.
Director/Secretary – Maintains the official records of the association. At each meeting, takes minutes and presents the prior meeting minutes for approval and filing. Prepares and mails the notice of the annual meeting, including ballot. Tracks attendance at annual meeting to ensure a quorum of homeowners is present or provided a proxy prior to the start of the meeting.
Directors at Large (2) – Attends meetings and assists where needed.
